Executive Assistant Contract to Hire
CE Wilson Consulting is a premier, emerging provider of project management and business efficiency expertise. Since our founding in 2001, we have served clients in the mining, energy, technology, utility, construction, medical and manufacturing industries. The Executive Assistant will support the Managing Partner, Director of Operations, and any designated outside vendors. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. This position will initially start out as a part-time role, but can potentially develop into a full time role based upon business needs.


Summary of Key Responsibilities:
  • Reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Schedule candidate interviews, prepare background checks, and onboarding documents
  • Conducts candidate screening interviews and document findings
  • Presents project status and recommendations to the Managing Partner
  • Interface with consultants, clients, and advisors as needed
  • Track accuracy and completion of consultant time entry and invoice submission
  • Collect and input project financial data as needed
  • Maintains discretion and confidentiality in relationships with all company and client members
  • Assists in coordinating the agenda of senior management team meetings and consultant meetings, on and off-site

Qualifications:
2 year or 4 year degree required
5+ years of experience supporting C-Level Executives in a corporate environment
Finance and Accounting Experience a plus but not required
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with stakeholders, including internal team members and external partners
Emotional maturity
Ability to work in a team environment, while also being effective working independently
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Ability to meet deadlines in a fast paced environment
Self driven and motivated to meet desired goals
